Bilzin Sumberg is seeking a Receptionist (with Records Support Responsibilities) to join our team. This role is primarily focused on front desk coverage, serving as a key point of contact for clients, visitors, and employees. The ideal candidate is polished, professional, and enjoys working in a highly visible, service-oriented position.
This individual must be organized, adaptable, and comfortable managing multiple priorities in a fast-paced environment. Strong interpersonal and communication skills are essential, as this role requires frequent interaction with attorneys, staff, and external guests. A team-oriented mindset and willingness to step in where needed are critical to success.  While the primary responsibility is reception coverage, this role will also provide support to the Records Department during non-reception hours.

Overview of Responsibilities:
Reception (Primary Focus):
• Provide front desk coverage on a regular and recurring basis, including planned and unplanned coverage needs
• Greet clients and visitors in a professional and welcoming manner
• Answer, screen, and direct incoming calls
• Coordinate conference room scheduling and assist with meeting setup
• Maintain the appearance and organization of the reception area
• Serve as a reliable back-up to ensure consistent front desk coverage across the firm
Records Support (Secondary Responsibilities):
• Organize and maintain client files, including interfiling, labeling, shelving, scanning, and boxing
• Update and maintain records in accordance with firm policies and procedures
• Research and locate files; update file indexes using records management systems
• Identify and correct filing or labeling errors
• Monitor file storage and assist with off-site storage processes
• Assist with general records-related projects and departmental needs
Additional Responsibilities:
• Assist attorneys, secretaries, and staff with locating documents and files
• Perform other administrative tasks and special projects as assigned
• Lift boxes up to 50 pounds as needed

Qualifications:
• Prior experience in a receptionist, front desk, or client-facing role strongly preferred
• Professional demeanor and strong customer service skills
• Excellent organizational and multitasking abilities
• Strong attention to detail
• Law firm or records management experience is a plus
